About this role

Support local Customer Solutions and Sales teams embedded in a customer organization (large oil and gas company based in Houston). Perform a number of administrative duties including: scheduling meetings, onboarding of resources, arranging conference calls, handling information requests and organizing logistics for training sessions and other promotion activities at the customer location. Liaise with contacts at the customer organization to ensure Company adheres at all times to the customer’s processes and policies.
Essential Functions;Reasonable accommodations may be made to enable individuals with disabilities to
perform the essential functions;- Coordinate daily calendars;
- Manage appointments, events, room bookings and visitor access requests at the customer location;- Facilitate internal and external communications;
- Support data / information sharing among team members and with external contacts;- Respond promptly to managers’ queries;
- Maintain tight communication with administrative support resources at the customer organization to ensure Company adheres at all times to the customer’s processes and policies;- Monitor and support compliance of the delivery team with Health and Safety standards and policies in the customer organization;
- Champion ‘Safety Culture’ behaviors at the customer premises;- Work closely with the Director to keep her/him well informed of upcoming commitments and responsibilities;
- Build relationships crucial to the success of the organization;- Manage and complete special projects as requested;
- Act as a “barometer”, having a sense for the issues taking place in the environment and keeping the Director updated;- Prioritize conflicting needs, handle matters expeditiously, proactively and follow through on projects to completion;
- Support with travel arrangements and expense reports.

About you

Required Experience- Strong organization skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
- Very strong interpersonal skills and the ability the build relationships with stakeholders, including staff, and customers;- Expert level written and verbal communication skills;
- Self-Starter who can quickly grasp the business and start building relationships;- Proactive approach to problem-solving with strong decision-making capability;
- Resourceful team player, with the ability to also be extremely effective independently;- Experience in large process-oriented organizations, preferably in oil & gas;
- Proven ability to handle confidential information with discretion;- Demonstrate a high-level of customer service.

Preferred Education and Experience- Bachelor’s degree preferred;
- 5-10 years of experience supporting teams and managers;- Strong skills in Microsoft Office (Outlook, Word, Excel and Power Point), Adobe Acrobat, SharePoint.
